Our booking and cancellation policy

Cancellation of appointments
All clients are required to give 24 hours notice of cancellation. Any cancellations made within 24 hours of the session time will be charged at the full rate. There will be no exceptions to this rule. In the event of your trainer cancelling within 24 hours, your session will be rescheduled.

Direct Debit Payments
Generally speaking, sessions cancelled with due notice cannot be carried forward into the next direct debit period, and must be used in the same direct debit period as cancelled. However, it's up to the trainers discretion as to whether any outstanding sessions roll into the following period - this is to be agreed with the trainer in advanced. The direct debit period runs each month from the day your direct debit is due, which will either be on or around the 1st of every month or, the choosing of the client from the date placed when setting it up. If your trainer is unable to offer an alternate time within this period the session(s) will be carried forward into the next month.

Holidays
If you or your trainer book a holiday, the direct debit will be suspended for the time you or your trainer is away. Trainers must be alerted of any holidays at least one week before your direct debit payment is due.

Illness
Sessions cancelled within 24 hours due to illness or injury will still be charged at the full rate unless a doctor's note is provided. Direct debits can be paused or cancelled if the client or trainer is unable to carry out sessions due to prolonged illness or injury. Alternatively, being injured doesn’t necessarily mean you can’t train. With 24 hours notice, Hall Training Systems can plan an alternative session, taking your injury into account.

Cancellation of direct debits
There is no contract tie to direct debit plans, but should you wish to cancel or change you direct debit, at least one week's written notice is required before the date of your next payment.

You will receive a confirmation email informing you we have received your request.

Block Payments
• Five session blocks must be used within 45 days of the first session.
• Ten session blocks must be used within two months of the first session.
• Twenty-five session blocks must be used within three months of the first session.

If your trainer is unable to offer an alternate session within the time period, the cancelled session(s) will be carried forward.
Refunds will not be given if a block is cancelled, but clients do have the option to transfer any remaining sessions in a block to friends or family. Any transferred sessions must be completed within the time period from when your friend or family member takes their first session.

Lateness
Unless otherwise agreed, sessions run for one hour. If your trainer is late, they will make up the time. If you are late the missed time will not be made up unless your trainer is happy to do so.
